OFFICE MANAGER

Runway Events is looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of communication, organizational effectiveness and productivity.

Office Manager responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting clients and vendors, and providing general administrative support to our team. Previous experience as an Office Manager is required and Event and/or Hospitality would be an advantage. A successful Office Manager should be fluent in Gmail, Google Drive, Office Suite, basic computer and phone skills and be able to accurately handle administrative duties.

Responsibilities:

  • Serve as the point person for office duties, including:
    • Phone, Mail and Email Management
    • Greet and Attend to Clients and Vendors
    • Organize Office Operations and Procedures
    • Manage Databases to Keep them up-to-date and Organized
    • Update Documents for Accuracy
    • Prepare for Monthly Team Meetings and Annual Team Retreats
    • Assist Team with Pre-Event Prep
    • Purchasing Office Supplies
    • Manage Office Maintenance and Cleanliness
    • Run Errands
  • Scheduling
    • Plan in-house or off-site activities, like parties, celebrations and conferences
    • Schedules Internal Meetings with Management
    • Schedule and Book Travel Plans for Team, as needed
  • Payroll
    • Process staff payroll through payroll system
  • Contracts and Invoicing
    • Send contracts and invoicing to new clients
    • Ensure deposits and final payments are being paid on time
  • Human Resources
    • Partner with Management to Update and Maintain Office Policies, as necessary
    • Assist in the Onboarding Process for New Hires

Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

The Office Manager position is part-time and will work in the Runway Office at least 30 hours a week and will occasionally be required to manage phone calls on busy wedding weekends. 

Requirements:

  • Proven experience (at least 2 years) as an Office Manager or Administrative Assistant
  • Knowledge of office administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. computers and printers)
  • Familiarity with Gmail, Google Drive and accounting softwares are a plus
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvement.

EVENT ASSISTANT

Job Description:

Runway Events believes in the power of working as a team and exceeding expectations. At each event we offer a Lead Planner and at least one Event Assistant to support the Lead Planner throughout the event day. Responsibilities vary by event, but here is a quick review:

  • Setting up / tearing down décor
  • Distributing personal flowers
  • Assisting with the “getting ready” portion of the day
  • Greeting vendors
  • Cueing musicians and/or DJs
  • Assisting family and wedding party with photos
  • Attending to the questions and needs of guests, vendors and the wedding party
  • Keeping everyone on time
  • Quick problem solving

Event Assistants typically work a handful of events throughout the month - generally during the weekend. Scheduling is determined based on season and the best pairing of Event Assistant with the Lead Planner and Client. Event Assistants can expect to work as few as 2 events to as many as 10 events throughout the month and must be available for on-call shifts as well.

This position does offer opportunity for growth. All of Runway’s Lead Planners started as Event Assistants and went through the process to be promoted to lead their own events. This opportunity can be discussed as you exceed the expectation of an Event Assistant.

Runway is all about the design and truly loves branding each event to the client. We work with our clients to learn their style and vision to best create the event design of their dreams.  Responsibilities vary by event, but here is a quick review:

Event Designers typically work a handful of events throughout the month and prep for events throughout the week. Scheduling is determined based on season and the best pairing of Designer and Client.

Requirements:

  • Design consultations with clients
  • Conceptualize event design - think outside of the box
  • Communicate with vendors to receive proposals and confirm items needed
  • Create and execute design items needed
  • Overseeing and directing all aspects of décor
  • Setting up / tearing down décor
  • Quick problem solving
  • Creative with a strong attention to details
  • Event planning experience is a plus
  • Floral experience is a plus
  • Positive, energetic and welcoming personality
  • Professional, both in appearance and demeanor
